Writing An Effective Business Plan

By JayBee · Comments (7)
Monday, May 3rd, 2010

A business plan is an essential document for any company to have, whether it’s a new company or one that has been in business for some time. A sound business plan can make the difference between a company’s success and failure. Fundamentally, a business plan is what actually steers a company toward its goals. It can also  be what secures the business essential funding.

What Is A Business Plan?

A business plan is a written document that gives a company direction as it looks toward future growth and resource allocation. A business plan also helps the company focus on key objectives and helps it to anticipate problems, as well as opportunities. A business plan is not a document that is used for making sales or attracting customers, but instead is a device demonstrating how a business will accomplish its goals. For this reason the content of a business plan should get right to the point with as few words as possible.

Many businesses need some form of funding to get started. Non-profit businesses are a good example of this. Almost every lender will request that a company who is seeking funding provides the lending agency with an up-to-date business plan as part of the funding application process. These lenders can be critical about what they want to see in a business plan. And this is a good reason for a company to seek professional writing services when considering the development and writing of their business plan. There are many components involved.

Executive Summary

The executive summary briefly highlights key points about the company. Generally, these highlights should not exceed a page or two and only hit on key ideas or points about the company. Some companies include a mission statement into the executive summary. The mission statement is what defines a company’s goals as those goals relate to providing products and/or services to their customers. The executive summary is usually written last, after the main body of the business plan has been completed.

Company Description

In this part of the business plan a company conveys its business history. This will include the date the company was established, licensing and permit descriptions if applicable and start-up plans.

Products & Services

In this section of the business plan the company should describe what products or services they will be providing to its customers. This part of the business plan should be focused on how customers will benefit from a company’s products or services.

Market Analysis

This part of the business plan explains how well a company knows its market and customer needs. For example, it’s not advantageous for a company to simply say they are going to sell widgets when there may not be a viable market for widgets. Once a company has researched the market need they then must explain where the market is located and how the company plans to reach that market. This is a key section upon which most lenders will base lending decisions. It’s called risk assessment. The more thoroughly a company can define its market analysis the better.

Strategy & Implementation

The big question for a company to answer in this section is ‘what is the business strategies’ a company will use to achieve its success. Again, lenders want to know that the risks are minimal when lending their money. This section helps them to see that, but needs to be as specific as possible. It should also include such things as management responsibilities and budget information.

Management Team

The key members of a company are defined and described in this section. When describing the management team the business plan should include backgrounds and other pertinent details related to business operations, without conveying personal information. Also, personnel strategies can be explained here.

Financial Plan

This is another place where lenders look when considering a loan or funding. This section basically shows how well money is or will be managed. It should include profits and losses, the balance sheet, show cash flows, and other related financial analysis. Often graphs and charts can be used to show, in diagram form, what the content is explaining.

Because of the complexity involved in writing a business plan many businesses choose to hire a professional writing company, like JayBee Journo, to perform this business task. This is especially true when a company doesn’t have its own writing staff, which many don’t. Moreover, it is often more economical for a company to sub-contract the writing of their business plan rather than maintaining an in-house writing staff.

Writing An Effective Newsletter

By JayBee · Comments (59)
Saturday, May 1st, 2010

Newsletters are an effective way for any business to keep existing customers and to attract new business. Newsletters inform people of new business developments, products, and events that a company might be offering to their readership. Good newsletter writers will capture things about a company in an exciting way that is interesting to the client’s readership. An experienced newsletter writer will do the following things for their client.

Find Appropriate Newsletter Topics

The first thing an experienced newsletter writer will do is become familiar with the company they are writing the newsletter for. All internet businesses have things about them that are worthy of being a newsletter topic. For example, a new product to be distributed on a specific date, product and service improvements, distribution, special events and offers, or any other significant aspect about the company is worthy of a newsletter topic. Experienced copywriters know how to research and find kernels of valuable newsletter topics.

Convey Information In A Creative Way

Writing a newsletter is not quite like writing website content copy or articles, although content is equally important in writing a newsletter. Generally a newsletter will cover several topics about a company with its page(s). However, the content for those topics needs to be written in such a way that the point is conveyed in as few words as possible, as compared to content copy, for the very fact a newsletter can cover more than one topic. For this reason it takes a skilled writer with a good command of language use to produce high quality newsletter content.

Use Keywords To Target Specific Markets

Using keywords in a newsletter can be an effective way for a company to target specific markets and lead potential customers to its website. When people are trying to search the internet for products, services, or information they use specific words or a short phrase to find what they are looking for. It’s important for a company to use the right keywords in their newsletter when they want to attract specific customer groups. Moreover, keywords, within a newsletter, can be linked to a company’s main web site. Keywords within a newsletter that are linked to a company’s website is another good way to help drive traffic to it.

Graphics & Art

Graphics and/or artwork are often used in newsletters and can be an effective way to convey messages, especially when appropriately placed within a newsletter. For example, pictures of new products, alongside written content explaining more about the product can be effective in helping the reader visualize the new merchandise. However, using too many graphics or too much artwork can interfere with the written content and distract the reader from receiving other valuable information. Experienced copywriting companies are skilled in seasoning newsletters with the right amount of pictorial illustrations without losing the message of the written content. Graphics and art work should be used in such a way as to help the written content, not take away from it.

There’s actually a lot more to writing an effective newsletter than just writing the content for it. Newsletters take a degree of research, planning, and creativeness. That’s why most internet companies hire copywriting companies, like Jaybee Journo to write their newsletters. There’s a lot involved in producing a high quality newsletter that will meet company goals.

Writing Effective SEO Articles

By JayBee · Comments (21)
Thursday, April 29th, 2010

Many internet businesses sometimes wonder why they’re not attracting customers to their websites. There are perhaps several reasons why this might happen. But one of biggest reasons might be because those businesses are not hitting the first page or two of a search engine search. And this could be because their web site content lacks keyword optimization, also known as Search Engine Optimization or SEO.

Writing SEO content is not necessarily rocket science, but it does take some knowledge in how SEO works and some skill in writing a balanced SEO article. What most businesses need is a company experienced in conducting keyword searches, conceptualizing the content, and then writing an effective SEO copy that increases traffic flow to the customer’s websites. Here’s how a skilled copywriting company writes effective SEO copy for its clients.

Keywords Relevant To Products & Services

Search engines are designed to seek out specific words, or keywords, throughout the internet and then produce a list of results that match the search request. Using keywords that are relevant to a company’s products and /or services is the most important key to SEO. There are research companies that specialize in identifying what keywords people use when searching for a particular product or service on the internet. Once their customer has received a list of relevant keywords, from that research company, they will then hire a copywriting company to write the copy using those keywords. However, keyword research can be performed by many experienced copywriting companies as part of a copywriting packaged service.

Keyword Density

Keyword density refers to the number of keywords that are used in an article. The general rule of thumb about keyword density is that it should be less than 4 percent (4%) of the copy’s total word count. Keyword density within an article that exceeds this amount could be interpreted as spam by search engine crawlers and reported to ISPs as such. If copy is identified as spam it will negatively affect potential business. This is one reason why many companies rely on the expert services of a copywriting company. Reputable copywriting companies will ensure that SEO copy meets search engine guidelines and requirements.

Keyword Positioning

Where keywords are placed within copy is also very important, in a strategically marketing way. As was already mentioned, keyword density should be less than four percent of total word count within an article. The question now becomes where those keywords should be placed within the copy. Placement of keywords will be dependent on the length of the overall copy. The general practice is to sprinkle the keywords between the opening paragraph and the conclusion of the copy in a balanced way, without the keywords interfering with what the client wants to say.

We have seen that it’s the keywords that lead a potential customer to a web page, but keywords are not necessarily the message of the copy itself. Experienced copywriting companies know how to mix the two. If you own a business that has a website that’s not attracting the business traffic you’d like, consider the advantages of SEO copy. Leading copywriting companies, like JayBee Journo, know about the intricacies of Search Engine Optimization and its value to any business that uses the internet as a source of exposure to the consumer. Moreover, most of these copywriting companies offer packaged copywriting services just as JayBee Journo does.
